What is it?

An applicant tracking system (ATS) is a software application that enables the electronic handling of recruitment and hiring needs. An ATS can be implemented or accessed online at enterprise- or small-business levels, depending on the needs of the organization; free and open-source ATS software is also available. An ATS is very similar to customer relationship management (CRM) systems, but are designed for recruitment tracking purposes.

How does it work?

The principal function of an ATS is to provide a central location and database for a company’s recruitment efforts. ATSs are built to better assist the management of resumes and applicant information. Data is either collected from internal applications via the ATS front-end, typically located on the company website or extracted from applicants on job boards. Most job and resume boards have partnerships with ATS software providers to provide parsing support and easy data migration from one system to another.

Think of an ATS as a mix of a digital filing cabinet, a project management system, and a customer relationship management system (CRM).

Benefits of using an ATS for strategic hiring:

  • Efficiency: ATS saves you precious time and resources by automating repetitive tasks like interview scheduling and sending email campaigns to candidates. This frees you to focus on the most crucial aspects of hiring, like in-depth interviews and candidate evaluation.
  • Data-driven insights: ATS provides valuable data and analytics on your hiring process, allowing you to identify trends, optimize your recruitment strategies, and make informed decisions about your talent acquisition.

Is an ATS right for you?

While ATS offers significant benefits, it’s not a one-size-fits-all solution. Consider the size and complexity of your hiring needs, your budget, and your existing recruitment workflow before investing in an ATS. Remember, an ATS is a tool to enhance your strategic hiring, not replace human judgment and interaction.
